A 1688 shipment stops updating: confirm the handover before changing the plan

A planning scenario for an overseas shipment with a tracking gap: identify the last confirmed handover, request the missing evidence and review the receiving deadline with the right party.

When tracking stops updating, a label alone cannot show that a carrier has the goods. Start with the last confirmed handover for the affected cartons and check which provider holds the next action. Keep delivery, warehouse receipt, stock reconciliation and sellable stock as separate outcomes. This scenario proposes an exception-handling plan; it does not report a shipment recovered or a deadline met.

Identify the shipment and the last confirmed event

Collect the supplier order references, consolidation or shipment reference, dispatched carton list, main tracking number and any separately issued last-mile number. Ask whether the references relate to the whole shipment or only part of it. Preserve the event text, timestamp, location and time zone when shown, so everyone is discussing the same update.

Match the last event against a collection receipt, carrier acceptance record or another handover document where available. Ask the booking party to confirm the responsible provider for that stage. A gap in a customer-facing tracking page does not by itself establish where the goods are, who caused a delay or whether the deadline has been missed.

Read each status for the milestone it actually confirms

Track the physical shipment and the destination stock position together, while keeping the following milestones distinct. Ask for clarification when a status description is ambiguous or when the cartons covered by it are unclear.

Shipment status and the evidence to request
MilestoneWhat it can establishWhat still needs confirmation
Label created / shipment information sentA number or electronic shipment record exists.Physical collection or carrier acceptance.
Carrier acceptanceThe carrier records receiving the shipment described in that event. The next movement and whether all cartons are covered.
In transit / arrival eventThe reported movement or location at that event time. The next handover, clearance status where relevant, and receiving estimate.
Delivered / proof of deliveryThe delivery event or recorded handover at the stated address.Correct recipient, carton count, shortages or damage.
Warehouse receiptedThe destination warehouse has logged receipt to the stated scope.Item-level quantities and discrepancies.
Count reconciledThe received count has been compared with the expected list.Release for sale and any remaining hold.
SellableThe receiving business has made the relevant stock available for sale.Any part of the shipment still unavailable, with its reason.

Give the open question to one action owner

For goods still moving domestically in China, the customer or agreed coordinator can ask the supplier and domestic carrier to trace the parcel. For a consolidated shipment, ask the party that booked the affected transport leg to obtain the handover evidence and carrier response. At destination, name the receiver who can check receipt and stock records.

Keep a short exception record: the unresolved question, affected cartons, owner, evidence requested and agreed next update. For example, if only a label is visible, request acceptance or collection evidence before treating the goods as in transit. If the main service hands over to a local provider, request the linked last-mile reference and confirmation of what it covers; do not assume that every route changes tracking numbers.

Review the deadline when the evidence changes

Use the actual service terms, carrier response and receiving requirement to agree when the next check is due. There is no single waiting period that fits every route. Set a review trigger when the promised update is missed, a new exception appears, a stated delivery window is exceeded or the receiver's booking becomes unworkable.

At that review, compare the last confirmed position with the date the goods are needed. Ask the responsible provider which options are available and what each would cost or change. A carrier may need to locate or release the goods before any option can be confirmed. Record the customer's decision and any revised scope or charges; do not treat an enquiry about rerouting as a reroute already performed.

Close with the receiver's result

When a delivery event appears, check the proof of delivery against the intended recipient and carton list. Ask the warehouse or customer to record actual receipt, reconcile quantities and identify any damage or shortage. Keep unresolved cartons open rather than closing the whole shipment from a partial delivery event.

To assess a real deadline result, compare the same agreed milestone with its actual completion time. A warehouse receipt cannot stand in for sellable stock when that was the customer's requirement. This planning scenario has no recovery time or successful delivery result to claim; those can be added only from the corresponding order records.

Put this plan into an order brief

  1. Share the shipment references

Send the main and any last-mile tracking numbers, affected carton list, destination and exact last update. Say which goods have already been received.

  2. State the receiving requirement

Give the agreed delivery or stock-ready milestone, its date and the receiving contact. Include any carrier or warehouse response already obtained.

  3. Agree the next evidence and review

Name who will request the missing handover or delivery record, when an update is due and what change would trigger another decision.

About this planning scenario

This is an editorial planning scenario reviewed on 24 October 2026. It describes how an exception could be investigated and reviewed, rather than a completed recovery by our business. Responsibility, service availability and any change of route must be established for the affected shipment.
